Initial 3 months contract with potential for future permanent role         

Our client is looking for a full time experienced Personal Assistant to join their organisation to provide

administrative support to and co-ordinate the work of two key Directors of the organisation

You need to be based in London, albeit remote and flexible working hours is offered you will be required

from time to time to go to Westminster for meetings

You will be an energetic and enthusiastic personal assistant who is able to demonstrate both empathy and

sympathy as part of the role. You must be very up to date with modern technology and the current remote

meeting mediums

Principal duties and responsibilities for the Personal Assistant role:

  • Support regular meetings, write agendas, take and type minutes and associated documents
  • Manage daily correspondence, mail and email including scanning and electronic filing
  • Manage all telephone enquiries – dealing with matters where appropriate
  • Type, proof read & edit appropriate documents
  • Keep electronic diaries for the Directors which are effectively managed and continually updated
  • Brief the Directors on appointments, provide a list with time and place, relevant papers and background
  • Co-ordinate practical details for visits including liaison with internal and external stakeholders
  • Arrange meetings, book rooms and venues, arrange room set up, greet and provide refreshments for guests
  • Arrange virtual meetings using online platforms and distribute appropriate links and invitations in advance.
  • Organise and compile report on Service Team scorecard submissions
  • Manage travel, including rail, congestion charge and accommodation
  • Maintain and update records as appropriate
  • Undertake stationery, general supplies and directory orders

Competences required for the Personal Assistant role:

  • Ability to work within a small, close-knit team including volunteers
  • Ability to work methodically and consistently
  • Excellent organisational skills, able to prioritise and meet tight deadlines
  • Ability to handle challenging people and situations with diplomacy and empathy
  • Ability to work alone, using initiative
